Wings of Carolina Scheduling Guidelines
Welcome to our new online scheduling system. Below are some guidelines
and hints on how to use this system. We hope that this new method of
scheduling aircraft and instructors will be more convenient for you than our
previous method.
- It is still your responsibility to cancel reservations which you will not
use. If you are unable to cancel the reservation yourself, you may
contact a staff member or leave a message on the club answering machine to
have someone do it for you.
- When selecting an end-time for your reservation, select the box before the
time you plan to end it. For example: If you plan to have the
airplane back before 12 p.m., don't choose the box below 12 p.m., choose the
box below 11:30 a.m. (since that box reflects the 30 minutes between 11:30
a.m. and 11:59 a.m.). This is the equivalent of drawing a line
on a sheet of paper and ending it at 12:00 p.m.

(Single day schedule from 7 am to 9 am.)

(Multi day schedule from 9am Sunday to 12 pm Tuesday.)
- When scheduling a lesson:
Be careful to schedule all the resources that you need. For example,
don't schedule an aircraft and forget to schedule your flight instructor for
the same time. If you do, you may delete the scheduled airplane
and reschedule it with your instructor. Or contact your flight
instructor to have him/her add you to his/her schedule.
- Instructors can not be scheduled for the same day using the online system,
although an aircraft can be scheduled just about anytime. Scheduling
of instructors will be limited to 8 p.m. the day before a lesson. (Some
instructors may prefer to have their scheduling cut-off time earlier.)
Instructors will check their next day's schedule at that
time. If you would like to schedule after 8 p.m. for the next day you
must contact your flight instructor.
- You cannot schedule an instructor overnight.
- You can only schedule one event at a time. If you want to schedule a
flight in the morning and another in the afternoon, that is two different
events.
- When scheduling an aircraft for multiple days, use the second scheduling
line and make sure you do not have an instructor selected.
Choose the date on which you want to start your trip and press the Multiple
Day button next to it.

Then select the start time on the start date
(top line), and select the end time on the date you plan to return.
- Flights can not be scheduled for more than 90 days in advance. This
is a safeguard because it is impossible for us to know the availability of a
resource. An airplane could go down for maintenance at any time.
It is
difficult to predict when maintenance will be necessary on an airplane.
You may request a schedule more than 90 days in advance, but you must contact
us.
- The scheduling application will not allow you to have more than four
(4) schedule
items at one time. If you need to schedule time with your instructor
and it will exceed your four (4) item limit, then contact your flight instructor.
- The maximum length of scheduling resources is limited by the Club SOPs and by aircraft type (and in some cases by individual airplane
within a type). The Simulator is limited to a 6 hour session.
- Don't reserve aircraft you're not qualified to fly (check-out, rating,
etc.) unless your intent is to get a checkout. Then you also need an
instructor. Make sure you have the proper cash deposit already on file
before scheduling, to check out in a new aircraft type.
- Be careful not to schedule the wrong resource. The computer doesn't
care which aircraft you fly. It will let you schedule the wrong
airplane or instructor. Be sure to review your request to make sure it
is correct. It is easy to go back and make changes so do not wait until
it is too late.
- Please schedule as much time as you want. The more time you schedule
the happier we are. Just be sure you can make it at all those
times. Do not carelessly schedule, as you will prevent another pilot
from getting any time. In other words do not "hog" the resources.
- There may be occasions when this application is not available for one
reason or another. DO NOT PANIC when this happens.
The application will be back up in a reasonable amount of time and you may
try to access the application again at that time.
